Job Summary

We are seeking a detail-oriented and proactive Billing & Operations Specialist to manage client billing activities and support project resourcing efforts. This hybrid role requires strong financial acumen, organizational skills, and the ability to collaborate with project managers to ensure accurate billing and efficient resource allocation. The ideal candidate thrives in a fast-paced environment and enjoys working cross-functionally with Finance, Operations, and Project teams.

Qualification

  • 2–4 years of experience in billing, finance, or project coordination roles.
  • Experience in professional services, consulting, or project-based environments preferred.
  • Strong knowledge of billing processes and financial documentation.
  • Proficiency in Excel and financial software (e.g., QuickBooks, NetSuite, Deltek, or similar).
  • High attention to detail and excellent organizational skills.
  • Effective communication and interpersonal skills.

 

Nice to Have

  • Familiarity with time-tracking tools and client contracts.
  • Experience working cross-functionally with Finance, HR, and Project Management teams.
  • Background in staffing, operations, or project resourcing.

Experience

Billing & Invoicing (Primary)

  • Generate accurate client invoices based on project data, contracts, and time/expense reports.
  • Review project budgets, rates, and billing terms to ensure compliance.
  • Track and reconcile billing discrepancies or issues with internal teams and clients.
  • Maintain and update billing systems with project and client information.
  • Monitor accounts receivable and follow up on overdue invoices when necessary.
  • Prepare regular billing reports and financial summaries for leadership.

Operations & Resourcing (Secondary)

  • Support project resourcing coordination in alignment with staffing needs.
  • Collaborate with HR and Project Managers on time-tracking and contract alignment.
  • Provide insights to leadership on resource allocation and utilization trends.
